Abstract Submission

IMPORTANT: Registration to the conference and abstract submission are two separate actions. You need to be registered to submit an abstract: if you have not done so, please follow the Registration link (left). You have the option of postponing the payment until you know whether your abstract is accepted or not. Once you are registered, come back here and follow the instructions to submit your abstract(s).

Important dates

Abstract submission opens on June 1st, 2011, and closes on October 15th, 2011.

Abstracts submitted after this date will not be considered.

Abstracts can be submitted for oral presentations or posters. Some posters will be selected for a short oral presentation in a dedicated session.

The Conference abstracts will be published as a supplement to Radiotherapy and Oncology (Green Journal).

Please note:
  • Submitting an abstract does not mean that the presentation/poster has been accepted. Submitters will receive a notification of acceptance or rejection by early December, 2011.
  • Please proofread your abstract carefully: once an abstract has been selected, it may not be revised prior to publication.
  • Abstracts are not eligible for review if they are incomplete or if they do not follow the guidelines.

Instructions for abstract submission

All contributions to ICTR-PHE 2012 are managed using the CERN Indico system. Please read these instructions carefully before proceeding.

You are allowed to attach maximum one figure and one table to your text (max. 5000 characters). Alternatively, if you prefer you can upload a pdf version of your abstract and write 'see attached document' in the abstract field.

The system will require an email address for each primary author and co-author: if need be, you can supply the same email address for all authors.

Once you get to the Abstract Submission website, you should click on 'Submit a new abstract' on the left-hand menu. The 'CERN Authentication' page will appear on the screen.

If you already have an Indico account at CERN, just login with your credentials (email address and password).

If you do not have an Indico account at CERN, you need to create a "CERN External Account":

  • click on the CERN External Account management page
  • read the instructions about 'CERN External Account'
  • Fill in the form with your email address and personal details and tick the box "I have read and agree to the conditions below". Important: fill also the non-mandatory fields, as this information is needed to identify you correctly once you submit an abstract.
  • You will get an email to confirm your account registration and set your password
  • At this point, you can proceed to submit your abstract from the link below, and use your email address and your newly set password to log in.

Once logged in, fill the form with the details of the proposed abstract, and click on 'Submit'. You will get an email with the submission details. You can come back to the conference page at any time before October 15, 2011, and log in to modify/check the status of the abstracts by using the 'View my abstracts' link on the left.

Important:

You need to be registered in order to submit an abstract. Your registration ID number will be required for submission. You have the option of postponing the payment until you know whether your abstract is accepted or not. If you select this option, please keep the registration confirmation email in order to later access the online payment system. If you register but cannot attend the Conference, you can transfer your registration to another person within your organization.

Troubleshooting

  • If you forgot your password, you can reset it using the 'Forgot your password?' feature
  • If you do not remember whether you have an INDICO account at CERN or not, you can try and register a new account: if your email is already in use, you will be notified that an account already exists (and you can change the password using the instructions above)
  • If all fails, contact us.
